James Cecil - Postgraduate Student Administration Officer

Job Summary

The Post-Graduate Student Administration Officer is responsible for the efficient and effective provision of student and academic administrative support to the School’s postgraduate coursework programs and their respective coordinators.

Accountabilities

    • To provide administrative support to the School’s Postgraduate coursework academic administrative systems and services;
    • To provide a courteous customer service to postgraduate students, current and prospective, staff and other key stakeholders (internal & industry);
    • To provide effective and efficient administration support to the School’s post-graduate coursework programs. This will include tasks such as assisting with applications and admission procedures, assisting with the enrolments and re-enrolments, orientation, student progress, student results and completions, the monitoring of students fees, etc;
    • To maintain program maps for each postgraduate coursework program;
    • To provide assistance with writing and preparing general correspondence and assisting with mail outs as required. This includes co-ordinating mailouts across disciplines/programs to ensure timely and efficient mailouts occur;
    • To provide administrative support to the School's distance education and flexible delivery activities at the post-graduate level;
    • To assist with the maintenance of study material for Off Campus students in postgraduate coursework programs. This may include tasks such as liaising with academic staff and Instructional Designers to ensure all distance materials have been written or updated in time for distribution to students;
    • liaising with internal/external printers to arrange printing of distance materials;
    • monitoring supply of distance program materials to ensure appropriate levels are maintained for respective enrolments;
    • organising distance program material mailouts to all post-graduate off-campus students;
    • organising collection of distance program materials for all post-graduate on-campus students;
    • To assist with assignment tracking for distance mode enrolments. This includes maintaining up-to-date class lists for all courses, keeping track of student details, assignment submission dates;
    • To assist with maintaining Program Logs through information gained from staff/student consultative committee (SSCC), Team Leader Meetings, Examiner Meetings and other sources of student feedback;
    • To actively contribute to the maintenance of a positive working and learning environment and to the School’s overall development.
