Course Description

This unit specifies the outcomes required to manage a patient record system within a medical environment, and to supervise others. It covers clarifying roles and responsibilities, managing the operation of a patient records system, and reviewing and improving the system.

1.1 Policies and procedures for patient records are accessed
1.2 Relevant personnel are consulted about how the system operates
1.3 Roles and responsibilities for the system operations are determined
1.4 Roles and responsibilities for system operations are communicated to relevant personnel

2.1 Supervision of staff maintaining patient records is provided
2.2 Staff maintaining patient records are provided with training as required
2.3 Staff using patient records are regularly consulted about system efficacy
2.4 Integrity of patient records is maintained
2.5 Security of patient records is maintained
2.6 Importance of confidentiality of patient records is stressed to all staff, including self, who handle or have access to patient files
2.7 Authorisation of transfer of records from facility is provided
2.8 Records are archived as appropriate

3.1 Implementation of the system is monitored and reviewed to identify improvements
3.2 Recommendations are made to relevant personnel for system improvements
3.3 Approved recommendations are implemented

This course is conducted in Semester 2
Students attend a tutorials at RMIT, access the myRMIT Studies (BlackBoard) and complete the BSBMED401A Manage Patient Record Keeping System Learner Guide and oral presentation.

Overview of Assessment

The assessment comprises of  a written assessment, oral presentation and thrid party evidence (Workplace Training Record Book).

Assessment Tasks
A variety of assessments are incorporated in this unit of competency including:
• Observation in the work place and third party evidence
• Oral presentation                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                            • Evidence of essential knowledge and understanding by submission of the Learner Guide and Supporting statement from supervisor
• Authenticated evidence of relevant work experience and/or formal/informal learning by the completion of BSBMED401A Manage Patient Records-Keeping Systems part of Workplace Training Record Book.

Students may apply for, Special Consideration (as per information provided in the Student Handbook) via the RMIT Hub http://www.rmit.edu.au/students/specialconsideration where they
believe factors beyond their control have affected their academic performance. Special consideration must be lodged prior to or within 48 hours of the scheduled assessment time or
assessment submission date. Special consideration is not granted automatically on application.

Application for extension of time for submission of work (where the assessment tasks will be submitted within seven days)

A student may be required to seek further stock control experience outside their place of employment in order to achieve the required Learning Outcomes/Performance Criteria for
Unit BSBMED401A Manage Patients Records-Keeping System.


1. Complete and submit BSBMED401A Learner Guide

2. Oral presentation on the management of patient records keeping system and any changes and/or recommendations made in the dental practice
3. Authenticated evidence of relevant work experience and/or formal/informal learning by the completion of BSBMED401A part of Workplace Training Record Book.
Refer to the Student Handbook for RMIT policies and protocol for submission of task.

Third party evidence completed by the student and workplace supervisor indicating the administration experience that has occurred and workplace supervisor to record relevant comments
about their observation of the student is included in the written assessment


A NYC (Not Yet Competent) result for the written assessment is managed as follows-

The marked coversheet will provide the student on what questions to resubmit. The student will have two weeks to submit the resubmission from the date of receiving the resubmission.
The student will submit the original marked assessment (including original marked coversheet) and the resubmission answers that have been researched. The student with a resubmission
is strongly advised to contact the principal teacher to clarify any aspects of the resubmission or arrange for a private tutorial.

Please note: Failure to undertake the above mentioned to achieve a PX result for the assessments will result in a student being being deemed NYC and requiring result in re-enrolment
incurring fees.

To complete Unit BSBMED401A Manage Patients Record-Keeping System a student MUST undertake routine and consistent experience in the area of the management of the patient
records in the dental practice.  Students are strongly encouraged to use a variety of texts and websites to support their underpinning skills and knowledge for a successful outcome in this unit of competency, including
myRMIT Studies (BlackBoard)
