FAQs – HSWMS framework

What is the HSWMS framework?

The HSWMS is the Health Safety and Wellbeing Management System. The HSWMS is a Framework made up of process and guidance material on different topics, which describe how RMIT manager Health and Safety.

What does consultation entail?

Consultation is a two-way exchange of information between RMIT and its employees (and students where required). This process involves, the sharing of information about health and safety, giving employees a reasonable opportunity to express their views, and take those views into account. If employees have an elected Health & Safety Representative (HSR) the HSR must be involved in the consultation process.

Do we have to review the processes?

If they are relevant to your area, or could affect the way you work, we would encourage you to review and provide feedback. Once the processes are finalised, it may change the way you work.

If we have local legislation for OHS what do we do?

The Health Safety and Wellbeing Team will be developing Global HSW Process, which will be the minimum requirements to be met. However, if there is local OHS legislation which goes above the RMIT process, a local HSW Standard Operating Process will need to be developed. Your Senior Advisor, Health and Safety can assist you with this.

What is my role and responsibility?

As part of this project, we would appreciate your feedback for the processes which are under consultation. Once these processes are finalised, you will be responsible for ensuring they are followed and implemented within your area.

FAQs – P.R.I.M.E./IT solution

What is P.R.I.M.E.?

P.R.I.M.E. is a cloud based software solution to assist the business in logging incident and hazard reports along with managing injuries should they occur.

Why are you replacing safety suite?

We are replacing safety suite due to the fact that it is no longer meeting the needs of the University around global accessibility, use of multiple platforms (Safari, tablets and mobile phones to name a few) and the inability to create meaningful reports from data collected. Additionally user feedback has centred on the inability to log a report if the information is not available (Location or manager) exactly as required.

How does this impact me when I am in Vietnam or Barcelona?

Rest assured, all our staff irrespective of where you are located, will be able to use this software. You can use it on any web platform (Safari, Internet explorer, Chrome, Firefox) on any piece of equipment (Tablet, mobile phone, laptop and computer).

When will these changes occur?

In January of 2017, we will begin transitioning the old system (Safety Suite) to the new (P.R.I.M.E.) We will start partnering with school/departments in December 2016 and then an entire University roll out will begin in 2017.

Will I be able submit a confidential report?

Yes, we have retained the important feature for staff to be able to submit confidential reports (Examples could include interpersonal conflict). These reports will go direct to the Executive Director of HR to investigate.

Will Safety Suite stop working completely?

We are going to archive all the incidents/hazards so we can access them if required. The current view on ESS (Health and Safety tab) will disappear in 2017 (We will advise via all communication channels). In the meantime continue to use Safety Suite or a paper based incident/hazard report.

What will happen to my old incident/hazard reports?

We are going to electronically store these reports on our server. These will not be accessible when you use the new software however upon a request via HR Assist we will be able to recover the report (If available and relevant information is provided to aid in the search).

Will I receive training for the new software system?

Absolutely, this forms part of the change management process. It is important key stakeholders are trained depending on their position in the business. Some have more responsibility and accountability than others hence tailored training. Most of you will have access to multiple channels of training (Online or face to face).
