Course Description

This unit covers setting standards for organisational documents and managing document design and production to meet the standards. Students will use a combination of software packages to design and implement business documentation. Software will include word processing, spreadsheets and databases. Students will examine key features of good design for business documents and gain skills in selecting appropriate software.

1. Complex technical functions of software are evaluated for their usefulness in automating aspects of standard document production.

2.Requirements of each document are matched with software functions to allow efficient production of documents.

3. Macros are tested to ensure they meet the requirements of each document in accordance with documentation standards.

Performance Criteria:

1. Explanatory notes are prepared for the use of standard templates and macros using content, format and language style to suit existing and future users.

2. Training on the use of standard templates and macros is developed and implemented, adjusting the content and level of detail to suit user needs.

3.  Master files and print copies of templates and macros are produced, circulated, named and stored in accordance with organizational requirements.

Performance Criteria:

1. Use of standard documentation templates and macros is monitored and the quality of documents produced is evaluated against documentation standards.

2. Documentation standards are reviewed against the changing needs of the organization, and improvements planned and implemented in accordance with organizational procedures.

Details of Learning Activities

Class time is spent practicing the design and development of a range of business documents and at the same time extending the student’s knowledge of software functions and document design principles.  A short lecture will provide students with the concepts required to gain the underpinning skills and knowledge.  Students will be required to practice underpinning practical skills outside of class time (eg keyboarding and proofreading).  This course will provide participants with the techniques and skills in proofreading and editing to produce well designed business documents.

Overview of Assessment

The student must demonstrate an understanding of all elements of a particular competency to be deemed competent. Assessment methods have been designed to measure achievement of each competency in a flexible manner over a range of assessment tasks.

Assessment will incorporate a variety of methods including class exercises/observation, theory tests, project/assignment and practical tests. Students are advised that they are likely to be asked to personally demonstrate their assessment work to their teacher to ensure that the relevant competency standards are being met

Assessment Tasks

Assessment 1 - Practical and Theory Test (worth 25%)

Students will complete a closed book in class test which focuses on both practical and theory components of the course.  The practical section will focus on the student’s ability to demonstrate the skills and knowledge as set out in the Evidence Guide and the theoretical section will include short answer questions based on the theory studied to date.

Assessment 2 - Case Study - Develop a Spreadsheet Solution (worth 25%)

Students will be given a case study and asked to create a spreadsheet model to solve a business problem within the case.  This is a take home assessment which must be completed individually.

Assessment 3 - Database Test (worth 10%)

Students will complete an open book in class test which focuses on using Microsoft Database.  The test will focus on the student’s practical ability to demonstrate the skills and knowledge as set out in the Evidence Guide.

Assessment 4 - Software Evaluation Report (worth 15%)

Students will use the software packages studied in this course to solve a business problem and create explanatory notes suitable to present to a business. This is a take home assessment which must be completed individually.

Assessment 5 - Exam (worth 25%)

Students will complete a closed book theory exam covering all course topics.

Grading

Students are required to achieve a pass in each assessment piece. Where a pass is achieved competency for that assessment is given. Where a pass is not achieved in any assessment piece a NYC (Not Yet Competent) grade will be given. Competency MUST be achieved for each element of competency within a competency standard for a pass grade (or higher grade) to be given. Where competency for all elements of competency is not achieved, an overall NN grade will result.
