Course Description

This unit describes the skills and knowledge required to establish standards for the design and production of organisational documents and to manage document design and production processes to ensure agreed standards are met.

It applies to individuals employed in a range of work environments who require well-developed skills in the use of a range of software packages. They use these skills to establish, document and implement consistent standards of document design within an organisation.

4.3 Produce, circulate, name and store master files and print copies of templates and macros in accordance with organisational requirements

Overview of Assessment

In order to achieve competency in this unit, you must provide:

Performance Evidence

Evidence of the ability to:  

  • identify the organisational needs, requirements and information technology capabilities relevant to the design and production of documents
  • establish documentation standards to meet organisational requirements
  • design, test and amend document templates
  • develop and implement documentation and training to support use of standard templates and macros
  • monitor the implementation of standard documentation templates and macros and make improvements in line with organisational requirements. 

Knowledge Evidence

To complete the unit requirements safely and effectively, you must:

  • describe document production processes
  • identify costs involved with the implementation of standard documentation
  • explain the software applications relevant to document design and development in the organisation
  • identify key provisions of relevant legislation and regulations, codes and standards affecting document production
  • outline organisational policies and procedures relating to document production
  • list sources of expertise available externally to the organisation or workgroup. 

Assessment Conditions

Assessment must be conducted in a safe environment where evidence gathered demonstrates consistent performance of typical activities experienced in the general administration field of work and include access to:

  • computer hardware and other document production equipment
  • software applications appropriate to the task
  • media for production of documents
  • samples of high quality standard documents.

Feedback will be provided throughout the semester in class and/or online discussions.  You are encouraged to ask and answer questions during class time and online sessions so that you can obtain feedback on your understanding of the concepts and issues being discussed. Finally, you can email or arrange an appointment with your teacher to gain more feedback on your progress.

You should take note of all feedback received and use this information to improve your learning outcomes and final performance in the course.


Assessment Tasks

You are required to complete two tasks.  You must successfully complete all parts of each of the two tasks to be deemed competent in this course.

ASSIGNMENT 1 (a) Word and Excel Templates for Standard Documentation (individual assignment) together with a Memo to Dept Manager (Refer to the teaching schedule above for the due date)

You will design and develop six standard templates for the DLM Enterprises organisation. (Three Microsoft Excel templates and three Microsoft Word templates - including a Word Report template)

The templates will include a range of advanced software functions.  You will find further details about this task in the Assessment Record and Cover Sheet in the Blackboard Program Shell for this program.

ASSIGNMENT 1 (b) Training and evaluation session on one of the templates you have developed (individual assignment) (Refer to the teaching schedule above for the due date)

You will design and conduct a 15 minute training and evaluation session for your team on one of the templates you have developed.  This assignment includes four (5) steps"

  1. Training proposal to management
  2. Handout for trainees
  3. Feedback and evaluation form
  4. Training session
  5. Short report (in memo format) on the outcome of the training program

ASSIGNMENT 2 - Style and Standards Manual (Group assignment) (Refer to the teaching schedule above for the due date)

As a team, you will design and develop your own organisational Style and Standard Procedures Manual for DLM Enterprises, based on the organisation’s requirements.  You will include in your manual, a range of user templates already developed by individual members of your team.  This range of templates will take account of the need for the final standard documents to exhibit a corporate image for DLM Enterprises.

Submission Requirements:

You should:

  • Ensure that you submit assessments on or before the due date.
  • Always retain a copy of your assessment tasks (hard copy and soft copy)
  • When you submit work for assessment at RMIT University you need to use a cover sheet that includes a declaration and statement of authorship.  You must complete, sign and submit a cover sheet with all work you submit for assessment, whether individual or group work. On the cover sheet you declare that the work you are presenting for assessment is your own work.  An assignment cover sheet for submission of each assessment task is available on Blackboard.
  • Each page of your assessment should include a footer with your name, student number, the title of the assessment, unit code and title and page numbers.  For example, Julie Macpherson, 324567, Task 2, OHS2345C Ensure a safe workplace, page 1 of 10.

Late Submission Procedures

You are required to submit assessment items and/or ensure performance based assessment is completed by the due dates.

If you are prevented from submitting an assessment item on time, by circumstances outside your control, you may apply in advance to your teacher for an extension to the due date of up to seven calendar days.

Resubmissions (VET Programs):

If you are found to be unsuccessful in a Course Assessment Task you will be allowed one resubmission only.  Your teacher will provide feedback regarding what you need to do to improve and will set a new deadline for the resubmission.  The highest grade you will receive if your resubmission is successful is "CAG".

If you are still not meeting the assessment requirements you must apply to your Program Manager in writing outlining the steps you will take to demonstrate competence in your course.  Your submission will be considered by the Program Team and you will be advised of the outcome as soon as possible.
