Course Description

In this course you will address the skills and knowledge required to define, develop and implement a project. You will operate both individually and as part of a team to address all facets of a project including resource and financial planning, risk management, health and safety considerations and record keeping. You will learn how to manage a complex project from initial scoping to final review.

Details of Learning Activities

Learning activities will take place in a studio and computer laboratory using industry standard tools and resources. You will complete exercises and industry style projects. You will also be required to undertake independent study. In-class activities will include:

Please note: While your teacher will cover all the material in this schedule, the weekly order is subject to change depending on class needs and availability of speakers and resources. There will be a number of prescribed tasks and projects (see Assessment Tasks below).

Planning tools

This week you will be introduced to the subjects and we will discuss the projects to be undertaken this semester. During this week’s session, you will have a look at a variety of project management software and choose one to use for this semester (you can change it later if you really want) and have a play around with it by chunking a previous project and setting it up.

Project parameters

In this session, as a group you will find examples of brief templates and one other resource to help define the parameters of a project. ‘Parameters’ means the limits – things like budget, time and deliverables. If you read that carefully, it means you just need to outline the types of documents and that are commonly used. This means identifying templates, lists of questions or descriptions of processes that a graphic designer could use.

Risk and Plan 1

At this stage, you should have a suitable project lined up. If not, you will need to do an assigned project (either a supplied client or simulated client).

Risk management: For any major project and as an ongoing practice, these risks should be considered and factored into a project plan.

Project planning: Project plans include the estimated hours, the key dates, and responsibilities for each team member or stakeholder. As part of your planning, you will create a Gantt chart to visualise and implement the process.

Organisation

Recordkeeping will be assessed in class in the next couple of weeks. There is no submission – you will be observed (i.e. you will show me) that you are doing the above as part of your process. Before going too much further on the design, ensure you are keeping up to date on recording time and saving files as you go.

Ongoing organisation 1

You will review your plan for the client project in your project management software, and update any time sheets. You should use the creative brief you have written in GRAP5371C Design Briefs to help guide you in updating or elaborating on any tasks and milestones. You should also record the time spent on the client project during this session. Make an appointment for next week for Assessment Task 2: Recordkeeping.

Record hours and update project plan. Individual meetings during this session to demonstrate recordkeeping. You will show Timesheets, records of interactions and feedback, saving drafts and work that shows the authentic development of work, backing-up work to a remote site (e.g. Google Drive, Creative Cloud or similar).

Finalise first project plan

All going well, you have everything you need to complete the delivery of the brief, and there should not be any major changes or updates to your plan. To confirm this, you’ll try to lock down the plan. For Assessment Task 2: Deliver and Review, you will need to do two things in this session: Consult team members and take their views into account in planning the project. Gather the evidence that the plan is finalised. Show an email or evidence of approval for an initial design direction and any scheduled meetings or deadlines with the client or other stakeholders. This could be a screenshot of the approval.

Deliver and invoice 1

In this week’s session we will go through how to invoice. Essentially, it the same as a job quote with some key differences. If the job is for an actual client and you are getting paid, create a real tax invoice. For other variations of work, it can be a simulated. This can be done in your project management software once all the time-sheets have been filled in. When the project is finished, you need proof that it has been accepted by the client. In this session, we will go through what that evidence can be. We will also cover protocols for delivering work to a client or other stakeholders (such as printers) and archiving work for future retreival.

Risk and Plan 2

Create a comprehensive project plan for the second client, include the estimated hours, the key dates, and responsibilities for each team member or stakeholder. As part of your planning, you will create a Gantt chart to visualise and implement the process.

Ongoing organisation 2

This session will dedicated to making a design comp for the second client project. This session will include a check that a project plan, tasks, milestones and key documents have been implemented. This will include job quotes and a comprehensive creative brief (aka reverse brief)

Prepare for delivery and review.

In this session, we will cover ways to complete a review of completed work. This can be rolled out for either the first or second client. Compile evidence from the first project of delivering and acceptance of a completed project. Alternately, this can be the second client project if that is better suited. If all the evidence is there, complete the review.

Deliver and invoice 2

Peer review of evidence and documentation, ready for finalisation of assessment. Get critical peer feedback on the project outcome. Make a conclusion or speculate on how the lessons learnt might change or impact on future projects if that has not already been done. Produce an invoice for the second client, ready to deliver if the job is not finished. Ready files for delivery.

Assessment meetings

No scheduled activities for this course, but this is the final week of the semester and last opportunity to re-submit work that has been marked as Not Yet Satisfactory. Instead of a class, there will be individual appointments scheduled with students.

Overview of Assessment

Assessment is on-going throughout the course. Assessment tasks will require you demonstrate the application of knowledge and skills through practical projects and/or exercises.
The assessment tasks are:

Assessment Tasks

Feedback throughout the course may be written, verbal or a combination of both. 
This course has two tasks. Both tasks must be completed/submitted. The tasks will be used to assess competence in the unit. You are required to demonstrate all learning outcomes to a satisfactory standard.

Assessment Task 1 - Knowledge Evidence 

Due Week 4

This is a short research project about the tools available for managing projects and work. Give examples of project management tools. Explain a method for measuring risk in a project. Give an outline of a plan for recording the management of a project including parameters, budget, risk and deliverables.

The task is to report on project planning, set-up and getting approval to go ahead; the idea is to show this here as part of of your record keeping. Show that you are keeping records and using project management tools throughout a project. Conclude a project by confirming it is finished, archiving and reviewing the outcome, then look for potential efficiencies for future project organisation.

At the completion of the course, competency based assessment will be given to students.

Special Consideration Policy, Late Submission & Extensions

All assessment tasks are required to be completed to a satisfactory level. If you are unable to complete any piece of assessment by the due date, you will need to apply for an extension. Pick the following link for details on applying for Special consideration.

On Time Submission and Impact of Late Submission

On time submission is an important factor in your assessment. Employability skills are embedded in all courses and these include Planning & Organising and Self-management. For this reason, late work impacts on your competency assessment. Submissions that are assessed as Not Satisfactory can be re-submitted once and this is only permitted during the period that the competency is scheduled.
