In this course you will learn the skills and knowledge required to integrate and balance overall project management functions and to align and track project objectives to comply with organisational goals, strategies and objectives.

Overview of Assessment

Assessment for this course is ongoing throughout the semester. Your knowledge and understanding of course content is assessed through participation in class exercises, oral/written presentations and through the application of learned skills and insights. Full assessment briefs will be provided and can be found on CANVAS.


Assessment Tasks

Assessment 1

  • This is an open book written assessment – you can use your learning materials as reference.
  • You must answer all questions and their parts correctly to achieve a satisfactory outcome for this task.
  • Refer to the Glossary of Instructional Task Words for descriptions of instructional words to guide you in the level of response required in each question.

Assessment 2A

Based on the email, complete the following tasks

  1. Prepare a draft Project Charter
  • Review the contents of the email from the CEO, Gavin Stead
  • Locate and review the CBSA IM014 Project Management Policy & Procedures (available via the CBSA website)
  • Review the Project Charter Template to familiarise yourself with the CBSA documentation used to formulate a project charter.
  • Based on the information you have gathered, develop a draft Project Charter for the CBSA Small Business Conference.
  • If you submit this document electronically, name the document Draft Project Charter.

 

  1. Participate in a meeting with the CEO (your assessor will play the role of Gavin Walsh, CEO)

The objective of this meeting is to present and discuss your draft Project Charter. You need to provide a clear rationale for every aspect of the Charter to gain the support and approval of the CEO for the proposed project scope. You may also seek further clarification during the meeting if required.

During the meeting your assessor in the role of the CEO will propose a different viewpoint to that outlined in your Project Charter and you will be required to demonstrate your negotiation skills so as to achieve a win-win outcome.

After the meeting, your assessor will ask you verbal questions to confirm your understanding of project establishment processes.

  1. Update/revise Project Charter

After the meeting, you will be required to make any adjustments or revisions to the Project Charter based on the agreements made during the meeting.

If you submit this document electronically, name the document Final Project Charter.

Assessment 2B

  1. Develop a draft Project Management Plan (PMP):

Using your Project Charter and research, develop a draft Project Management Plan using the Project Management Plan Template provided.

Your PMP must include, as a minimum, the following:

  • Project scope and constraints
  • Project stakeholders and roles and responsibilities
  • Project Milestones
  • Work Breakdown Structure and dependencies
  • Change management
  • Monitoring processes
  • Project communication
  • Cost management
  • Risk management

If you submit this document electronically, name the document Draft Project Management Plan.

Print out a copy of this document to take to the project team meeting with you.

 

  1. Facilitate a Project Team Meeting: (your assessor will play the role of Gavin Walsh, CEO and will arrange for another actor to play the role of Project Assistant)

The objective of this meeting is to present and discuss your draft Project Management Plan. You need to facilitate this discussion and provide a clear rationale for every aspect of the plan to gain the support and approval of the CEO and other project team member/s. You may also seek further clarification during the meeting if required.

During the meeting project team members will seek to make changes to the Project Management Plan, which you may not agree with. You will be required to demonstrate your negotiation skills to achieve an agreeable outcome to all.

After the meeting, your assessor will ask you verbal questions to confirm your understanding of project planning and design.

  1. Update/revise Project Management Plan:

After the meeting, you will be required to make any adjustments or revisions to the Project Management Plan based on the agreements made during the meeting.

Ensure you submit both the draft and final Project Management Plan

Assessment 3

  1. Facilitate a Project Team Meeting: (your assessor will play the role of Gavin Walsh, CEO and will arrange for another actor to play the role of Project Assistant)

The objective of this meeting is to discuss project progress and issues that have arisen. You will need to facilitate a resolution of any issues and determine actions to be taken to address identified issues or conflicts.

During the meeting project team members will bring up issues or conflicts that may impact the projected attainment. You will be required to demonstrate your negotiation skills to resolve these issues and make decisions about actions to be taken. This will include a change to the project’s scope.

After the meeting, your assessor will ask you verbal questions to confirm your understanding of project monitoring and control processes.

  1. Develop Project status report:

After the meeting, you will be required to prepare a Project Status Report using the template provided. The report should analyse the progress information provided to you by project team members during the meeting (and within the relevant email).

  1. Develop change request:

After the meeting, you will be required to prepare a change request form using the template provided. Ensure that your change request includes an impact analysis for any changes requested.

  1. Update the Project Issues Register:

Document the issues identified during the meeting and the actions taken. Include timeframes, responsibly parties and completion dates.

  1. Send email to the CEO:

Using the email template provided, compose an email to the CEO (for submission to the Board) to summarise the change request made and to submit the Progress Status Report and Project Issues Register. Your email should indicate these documents are attached.

Assessment 4A

Based on the requirements of the Project Management Plan and the CBSA Project Management Policy and Procedure, send out an email to Project Team members to allocate project finalisation activities. You should ensure that your email provides instructions on:

  • Preparing and submitting final status reports and/or meetings
  • Ensuring any outstanding invoices have been finalised and paid
  • Confirming that all venue and supplier contracts requirements have been fully met

Allocate these tasks according to project team members

Use the email template provided to compose your email.

Assessment 4B

  1. Review the emails you have received in both Task A and Task B. Based on this information, complete the Project Final Report for submission to the Board. Use the template provided to complete your report
  2. When you have completed the report, send an email to Gavin Stead attaching the report. Your email should request feedback from the Board about the project.

Assessment 5

Read the emails you have received and analyse the information about the conference outcomes. Compare this information with your Project Management Plan to evaluate the success of the project. You also need to identify improvements and make recommendations for similar projects.

Develop Project Evaluation

Based on the information gathered, develop a Project Evaluation Report using the template provided. You should consider the results against the Project Management Plan.
